- Name: Full names of business owners, crew managers, painters, subcontractors, and client contacts.
- Email: Email addresses used for account creation, login credentials, invoices, notifications, and customer support.
- Phone: Contact phone numbers for team communication, SMS/app dispatch notifications, and identity verification.
- ABN (Australian Business Number): Company registration numbers necessary to generate tax-compliant GST invoices and quotes.
- Bank Details: Bank account numbers and BSB details supplied by business owners to facilitate client invoice disbursements and payroll transfers.
- Employment Information: Timesheets, clocked hours, crew roles, hourly wage rates, job assignments, and PAYG/TFN payroll details needed for pay slips.
- Location Data (GPS): Location recorded strictly at the moment of clocking in and out to verify physical site arrival. We do not track continuous background location when workers are off-site.
- Device & Diagnostic Data: Device model, iOS version, IP address, and crash reports to ensure app stability and security.
2. How We Use the Data
We use the collected information exclusively to operate, maintain, and provide the PaintTrack service:
- Managing painting jobs, job site locations, and team scheduling.
- Accurately tracking labor hours and calculating live job profit against initial quotes.
- Generating, sending, and tracking professional client invoices, estimates, and variation orders.
- Calculating employee timesheet summaries and generating compliant payslips.
- Providing customer support, resolving technical issues, and preventing fraud.
- Executing voice and text commands through the PaintTrack AI Assistant.
3. How We Protect the Data
We implement rigorous technical and organizational security measures to protect your data against unauthorized access, loss, or alteration:
- Encryption in Transit: All communications between the PaintTrack app, our website, and backend servers are protected using industry-standard TLS 1.3 / HTTPS encryption.
- Encryption at Rest: All stored databases, financial records, and credentials are encrypted using AES-256 encryption.
- Role-Based Access Controls: Access to sensitive financial data, rates, and payroll summaries is restricted strictly to authorized business administrators.
- Infrastructure Security: Enterprise-grade cloud infrastructure featuring continuous vulnerability scanning, strict firewall rules, and daily automated backups.
4. Third-Party Services
We partner with trusted third-party service providers to deliver essential platform functionality. Each provider adheres to strict security, privacy, and confidentiality standards:
- Stripe: Secure payment processing and subscription billing. Credit card data is transmitted directly to Stripe and is never stored on PaintTrack servers (PCI-DSS Level 1 compliant).
- Xero: Accounting software integration for synchronizing invoices, job expenses, and payroll data directly into your accounting ledger.
- Firebase (Google Cloud): Core cloud infrastructure, secure user identity authentication, encrypted real-time databases (Firestore), and secure file hosting.
- Anthropic: Powers the PaintTrack AI Assistant for processing voice and text commands (such as scheduling crew or logging job expenses). Business data sent to the AI Assistant is processed transiently and is never used to train AI foundation models.
5. Data Retention and Account Deletion
We retain personal and business data only for as long as your account remains active or as needed to comply with Australian tax and business record-keeping obligations. You have the right to permanently delete your account and all associated data at any time:
- In-App Deletion: Open the PaintTrack app → go to Settings → Account & Security → Delete Account.
